Due Dates & Late Fees Explained

Updated July 26, 20261 views

Every renewal invoice gives you a full week to pay, with reminders along the way. Pay before the due date and you never see a fee. This page explains exactly how the timeline works — and how to make late fees impossible with your wallet.

The Renewal Timeline

Your invoice is created 7 days before your license expires, so there are no surprises. From there:

WhenWhat happens
7 days before dueInvoice is created. If your wallet balance covers it, it is paid automatically — done, nothing else happens
3 days before dueFriendly reminder email
1 day before dueFinal reminder — this is your last day to pay without any penalty
On the due dateUnpaid invoices receive a one-time 10% late fee and the license enters suspension
7 days past dueFinal notice — after 48 more hours the license is terminated and a new license must be purchased

This is by design — there is no hidden grace period. The due date is the deadline, not the start of one. Payment must arrive before the due date; on the due date itself, the late fee applies.

How the Late Fee Works

  • It is a one-time 10% of the invoice amount — it never compounds and is never charged twice on the same invoice
  • It applies on the due date if the invoice is still unpaid
  • It appears as a separate "Late Fee" line on your invoice
  • Paying the invoice (including the fee) restores your service immediately — reactivation is automatic

How to Never Pay a Late Fee

  1. Keep a wallet balance — invoices are paid automatically the moment they are created, a full week before the due date. This is the zero-effort option. See how the wallet works
  2. Save a payment method — auto-charge runs before the due date
  3. Pay when the invoice email arrives — you have 7 days
  4. Don't want to renew? Cancel the license from your dashboard before the invoice is created (more than 7 days before expiry) and no invoice is issued at all

Why We Do It This Way

Licenses are provisioned and billed to us by upstream vendors the moment they renew. A suspended-but-unpaid license still occupies that slot. The late fee keeps renewal fair for everyone: customers who pay on time never subsidise those who pay late — and with wallet auto-pay, staying on time requires zero effort.

Frequently Asked Questions

Q: My invoice was due today and a late fee was already added this morning. Is that an error? A: No — this is how it works. The fee applies on the due date, at whatever time our billing system runs that day. To avoid it, pay any time during the 7 days before the due date.

Q: I have two invoices with different due dates. Which one applies? A: Each invoice has its own due date and its own timeline — check the due date printed on each invoice. Licenses bought on different days renew on different days.

Q: Will the fee keep growing if I pay late? A: No. It is applied once, at 10% of the invoice amount, and never increases.

Q: My invoices were merged into one. What about the fees? A: A merged invoice keeps the line items of the invoices it combined, including any late fee that had already been applied to them. Merging never adds a new fee by itself.

Q: I paid but my service is still suspended. What do I do? A: Reactivation is automatic within a few minutes of payment. If your service is still suspended after 15 minutes, open a support ticket and we will fix it immediately.
